Control product visibility for your buyers with Warehouse, Currency, Customer Groups, Pricesheets, and Inventory Settings. Use these variables to diagnose product visibility issues and make adjustments as your products and customers continue to evolve.
Warehouse
If you have one Warehouse, then visibility is straightforward.
If you have multiple Warehouses, the customer assigned Warehouse dictates product visibility. How you allocate units to each Warehouse in Inventory Data controls what products buyers can see.
Example with multiple warehouses
For example, let's say you have Warehouse A and Warehouse B:
- Customer A is assigned to Warehouse A.
- Customer B is assigned to Warehouse B.
- Product A is assigned units in Warehouse A, but not Warehouse B.
- Product B is assigned units in Warehouse B and Warehouse A.
In this example, customers can see:
- Customer A can see product A and product B, because both products have inventory for Warehouse A, which is customer A's assigned Warehouse.
- Customer B can only see product B, because product A doesn't have inventory in customer B's assigned Warehouse and product B does.
Warehouse tips
If a customer can't find a product and you have multiple Warehouses, check if the missing product has associated inventory in the Warehouse assigned to your customer.
To assign a customer to more than one Warehouse first edit the customer's company and choose the Default Warehouse. Select Save.
Then, return to the company's contact card and select (or add) an address. Specify the Warehouse and Save.
Currency
If you're using one Currency, then visibility is straightforward.
If you're using multiple Currencies, then visibility is the intersection between the currency assigned to the customer and the currency assigned to the product.
Example with multiple currencies
For example, let's say you're using USD and EUR Currency:
- Customer A is assigned to USD Currency
- Customer B is assigned to EUR Currency.
- Product A has USD Currency pricing only.
- Product B has USD and EUR Currency pricing.
In this example, customers can see:
- Customer A can see product A and product B, because both products have USD pricing, which is customer A's assigned Currency.
- Customer B can only see product B, because product A doesn't have EUR Currency and product B does.
Currency tips
If a customer isn't able to view a specific product and you have multiple Currencies, check if the product exists in the Currency assigned to the customer.
Customer and User Groups
Customer and User Groups allow you to set up product visibility rules for buyer and brand users.
Example group
For example, if you create a Whitelist group that includes a rule for Season with a value of Summer, then anyone assigned to that group will only see Summer products.
Group tips
If a customer can't view a product that you think they should, edit the customer's company and review the Custom Groups field. Make changes as needed and Save.
If a brand user runs into the same issue, go to Settings > Brand Admin > Users > Manage Brand Users. Select the pencil icon from a brand user to review their User Groups. Make changes as needed and select Save Changes.
To review the configuration of a group, admins can navigate to Settings > Brand Admin > Settings > Customer & User Groups. Compare these settings with the product's configuration. Consider downloading your Product Data to help with this comparison.
Pricesheets
Pricesheets dictate special product pricing for customers assigned to that Pricesheet. You can also restrict product visibility on the buyer level by disabling a product within that Pricesheet.
If you want to hide a product from a customer through a Pricesheet, add a product to the spreadsheet and enter a Y in the Disabled column. This removes the visibility of the product from customers assigned to this Pricesheet. Admins can download and upload Pricesheets by navigating to Settings > Brand Admin > Data > Pricing.
To see the assigned Pricesheet, edit the company and review the Pricing Template field. If you make changes select Save.
Inventory settings
Admins can control product visibility based on inventory by navigating to Settings > Brand Admin > Settings > Inventory Settings and adjusting these toggles:
- Hide Sold Out Products: If enabled, this setting hides products that have 0 inventory (in all sizes, across all warehouses).
- Hide Products With No Inventory Data: If enabled, this setting hides products that have no inventory data (in all sizes, across all warehouses).
Other visibility options
In addition to product visibility, admins can also control other areas of visibility.
Subteams
Subteams are assigned on the brand rep level and allow you to organize your sales reps into their selling divisions. Subteams also establish visibility control over who can see accounts and orders.
Admins can set up as many Subteams as needed by going to Brand Admin > Settings > Brand Settings and then scrolling to the Subteams section. Learn more with Subteams overview and FAQ.
Guest buyer visibility
Admins can create and manage rules that determine which products are visible to buyers that aren't yet connected to your brand by navigating to Settings > Brand Admin > Settings > Guest Buyer Visibility. Either Add Rule(s) or toggle on Display all products to buyers; otherwise, no products are visible to guest buyers.
To view as a guest buyer, select the eye icon in the upper-right corner and toggle on Shop as a Guest Buyer.
