Archiving data overview

Brand admins can archive: Product Data, Company Data, and Orders. Before you archive data, consider the below information. 

Product data

First decide if you want to disable or archive the product.

  • Disable a product if it's only temporarily unavailable or if you're adding new products before launching a new season. 
  • Archive a product if it's permanently discontinued or if it was created erroneously (example: a duplicate).

Archived products don't appear in the main Product Gallery or in the Admin Product Gallery. Buyers can't purchase archived products.

When you're ready to archive one or multiple products, follow the steps outlined in Archive products.

Access archived product data

Brand admins can access archived products by going to Settings > Brand Admin > Data > Archives and selecting the Products tab. You can unarchive products from this page.

You can also access archived products in bulk by going to Settings > Brand Admin > Data > Product Data. In the Download section, select a file with Download your data with archived products... in the description. You can use this file to unarchive products by following the steps in Access archived products.

Company data

As an important first step, before you archive a company, download the buyer data. When archiving a company, the associated buyers are completely removed and will not return when you unarchive the company. Therefore, if you completed that initial first step of downloading the buyer data, you can use that information to restate those buyers if you so choose.

Archived companies and their associated buyers don't appear in the Contacts page and the buyers can't log into NuORDER (as they no longer exist in the system).

Only archive a company if:

  • You downloaded the buyer data for later reference, if needed.
  • The company closed shop.
  • The company is no longer connected with your brand.
  • The company was created erroneously.

As a reminder, before you archive a company, download the buyer data, because when archiving a company, the associated buyers are completely removed and will not return when you unarchive the company.

To archive a company, go to Contacts from the left navigation menu, hover your mouse over a company, and then select the trash icon.

To archive multiple companies, go to Settings > Brand Admin > Data > Company Data and download a template. Use this file to archive companies by entering a N in the active column, and then return to the Company Data page to upload the updated file.

You also have the option to Archive All Companies on the Company Data page. As a reminder, if you plan to archive all and then unarchive all companies later, you must download your buyer data first; otherwise, that buyer data will be gone and unretrievable.

Access archived company data

Brand admins can access archived companies by going to Settings > Brand Admin > Data > Archives and selecting the Companies tab. You can unarchive companies from this page.

You can also access archived companies in bulk by going to Settings > Brand Admin > Data > Company Data. In the Download section, select a With Archived Companies file. You can use this file to unarchive companies by entering a Y in the active column.

Orders

Only archive an order if it was created erroneously. Archived orders don't appear in the Orders page.

When you're ready to archive an order, go to the Orders page, hover your mouse over the order, and then select Archive Order from the kabob menu.

Access archived orders

Brand admins can access archived orders by going to Settings > Brand Admin > Data > Archives and selecting the Orders tab. You can also unarchive orders from this page.

Search by the Order Number to locate an archived order. You can also unarchive orders from this page.
