Zedonk integration

Zedonk has utilized the NuORDER SFTP to develop a data connection between the two systems. Zedonk will be connected to NuORDER through a flat file integration, meaning the two systems will be generating CSV files of your data and transferring them back and forth via sFTP. This involves collaborating with a Zedonk developer to map your data according to your business requirements.

For products, customers, and inventory: You will click a button in Zedonk to initiate each data transfer. Orders are automated hourly.

Turnaround time

The average Zedonk integration will take approximately 12-16 weeks from the project kickoff to completion. This timeline encompasses all stages of the rollout, including:

  • Planning and discovery sessions
  • Data cleanup and preparation on your end for the Zedonk integration
  • Testing and review in the NuORDER sandbox
  • Adjustments as needed
  • Final review and sign-off
  • Transfer from sandbox to production 
  • Post-launch troubleshooting

Your responsibilities

You will be responsible for:

  • Providing detailed information about your Zedonk setup and sales process.
  • Ensuring that your Zedonk portal is ready for integration (e.g., product, customer, and inventory data is populated in Zedonk).
  • Offering insights into data fields used in Zedonk and parameters for item/customer synchronization with NuORDER.
  • Making necessary bulk adjustments, such as adding new fields to your Zedonk data, for an optimal NuORDER user experience.
  • Designating & reviewing data in the NuORDER sandbox and providing feedback.
  • Creating & reviewing test orders in Zedonk and offering feedback.
  • Providing final approval for the go-live stage.
  • Monitoring data feeds daily after going live to ensure correctness.
  • Collaborating with us to address any unforeseen issues that may arise once your team is actively using NuORDER in the live sales environment.

  • An Integration Manager who will be your day-to-day point person, manage the project and guide you through the rollout from start to finish.

  • Gaining an understanding of your Zedonk setup and sales process.
  • Working with Zedonk as they configure the data files to import & export to our system.
  • Advising on special requirements or customizations, and how they can be achieved through the integration.
  • Synchronizing test data into the NuORDER sandbox.
  • Synchronizing test orders into Zedonk.
  • Ensuring a smooth transition from the sandbox to production.
  • Keeping your team updated throughout the process and addressing any delays as they arise.
  • Resolving any unexpected issues that may occur after the go-live stage.

What's supported: Products

Capabilities

Creating & updating items: Our system will be able to identify which items are new and which already exist in our system.

Pricing & Multiple currencies: Multiple currencies are supported. The product data will include a default wholesale and retail price for the each currency you are using. Additional levels of pricing can be supported through customer-level discounts.

Export parameters: Your export from Zedonk is based on seasons: you will select one season to export at a time.

Export Frequency: You will click a button in Zedonk to send product data to NuORDER.

 

Callouts

Automated data transfer is not supported at this time. You will click a button in Zedonk to initiate each data transfer. 

Custom fields are not supported at this time. If you have a business requirement that is not covered in the standard setup, please review this with your Integration Manager.

Disabling/archiving/canceling products is not included in the product data from Zedonk at this time. You will manage this directly in NuORDER.

 

What's supported: Customers

Capabilities

Creating & updating customers: Our system will be able to identify which customers are new and which already exist in our system.

Multiple billing & shipping addresses are supported.

Customer level discounts are supported.

Export parameters: Your NuORDER export will include all active customers in Zedonk.

Export Frequency: You will click a button in Zedonk to send customer data to NuORDER.

 

Callouts

Automated data transfer is not supported at this time. You will click a button in Zedonk to initiate each data transfer.

Buyer data (name, email address, sales rep assignment) will be managed directly within NuORDER.

Customer addresses can be edited through NuORDER. Zedonk can accept new addresses on an order and it will update the existing record in Zedonk.

Custom fields are not supported at this time. If you have a business requirement that is not covered in the standard setup, please review this with your Integration Manager.

Archiving (i.e. deactivating) customers is not included in the data feed from Zedonk at this time. You will manage this directly in NuORDER.

Process for New Customers: You will add the customer directly into NuORDER and add the customer name into the company code field. The new company will be created in Zedonk and will match back to NuORDER through the company code field.

 

What's supported: Inventory

Capabilities

Immediate quantities: Your inventory data will reflect the available-to-sell quantities from Zedonk.

Export Frequency: You will click a button in Zedonk to send inventory data to NuORDER.

 

Callouts

WIP (work-in-progress) inventory is not supported at this time. 

Prebooking: For items that should have unlimited quantity available in NuORDER, you will control this directly in NuORDER via the Admin section. Rules can be based on any product attributes, and you will have direct access to control and update the rules as needed. 

 

What's supported: Orders

Capabilities

Export Parameters: You will be able to select Approved, Pending, or In Review orders to be exported from NuORDER.

Import/Export Schedule: Orders will be transferred from NuORDER into Zedonk hourly. 

Order fulfillment process: Once the order has been synced to Zedonk, your team will take it from there per your normal approval and fulfillment process.

 

Callouts

Custom fields are not supported at this time. If you have a business requirement that is not covered in the standard setup, please review this with your Integration Manager.

Order Import Failures: When we send the orders to Zedonk, we provide the Zedonk customer code as well as the product UPCs. If any of these values are not recognized in Zedonk (e.g. if there was a typo, or the record has been altered in the ERP), the order will fail to import. If this happens, you will need to review the order and resolve the issue.

Editing or Canceling orders: After the order has been imported into Zedonk, any further changes must be done directly in Zedonk. 

If you can’t locate a PROCESSED order in your ERP: If an order was mistakenly moved too far into PROCESSED in NuORDER, it will miss the automatic export to ZEDONK. Luckily, it’s easy to resend an order (Admin users only):

  • Locate the order in NuORDER under PROCESSED.
  • Click “Regress” to move it backwards into APPROVED.
  • The order will be sent up with the next hourly export.
