Product data overview for brands

Product data controls the items you sell in NuORDER, including product details, availability, filters, and reporting fields. Use this article to download the right product data template, prepare your file, avoid common upload issues, and troubleshoot product upload errors.

Template download

Download your product data template from Settings > Brand Admin > Data > Product Data. Templates from NuORDER include the custom fields set up for your brand portal.

Before you upload product data

Before you upload product data, check that your file is ready to import. NuORDER imports the file only when the required data and formatting pass validation.

Before uploading, confirm that:

  • You downloaded a fresh product data template from NuORDER or used the blank template.
  • You didn't rename, delete, merge, or reorder header columns.
  • Required fields have values on every product row.
  • Each SKU has its own row.
  • Products with multiple sizes use consistent product-level details on each row.
  • Your file doesn't include formatting issues, special characters, formulas, hidden or locked cells, merged cells, blank divider rows, or extra sheets. For troubleshooting steps, go to Fix Excel upload errors caused by formatting, special characters, or extra sheets.
  • Your file uses a supported format, such as XLS or CSV.
  • Your file includes the _id field when changing SeasonStyle Number, or Color for existing products.

Product data best practices

Review your product data spreadsheet before uploading it. Accurate product data helps keep products, filters, availability, and reporting consistent in NuORDER.

Keep this information in mind when updating your product data:

  • Download your existing data from NuORDER and update the exported file. This helps prevent duplicate records.
  • Download your data in XLS format instead of CSV. XLS files help prevent leading zeroes from being removed and UPCs from converting to scientific notation in Excel. 
  • Work from a copy of the exported file. If the file has an issue, you can restart from a clean copy.
  • Keep all columns in the exported file. Deleting columns can remove product data during upload.
  • Use consistent values across uploads. For example, use SPRING 12 or SPR12, not both.
  • Include all sizes for each style, season, and color. Sizes missing from the uploaded file may be removed from the portal.
  • Give every SKU its own row.
  • List sizes in the order you want them to appear.
  • For products with multiple rows, keep product-level information the same on every row. Only the Size value should change.
  • Don't change SeasonStyle Number, or Color for an existing product unless you also include the _id field.
  • Use simple HTML only in the Description field, such as <br> line breaks. Other text fields show HTML tags as plain text.
  • Keep duplicate styles out of the file unless each row represents a valid size or SKU variation.

What to avoid

These formatting issues can prevent NuORDER from importing your file or can cause product data to import incorrectly.

When uploading product data to create or edit products, avoid the following:

  • Leaving required fields blank.
  • Changing header names.
  • Merging cells.
  • Hiding rows or columns.
  • Adding formulas instead of plain values.
  • Using a dollar sign in pricing fields.
  • Adding blank rows as dividers.
  • Using a double quote to represent inches. Instead of 12", enter 12 in.
  • Using scientific notation.
  • Using double spaces.
  • Using special characters, such as *, ¨, é, ø, π, ≈, ç, ´, or º.

Troubleshoot product upload errors 

If your product data upload doesn't import, use the error message to find the issue in your file. NuORDER imports the file only when the full file passes validation. If one row has a blocking error, NuORDER won't save the upload.

Issue What it usually means What to check How to fix it
Line 0 or a generic parse error NuORDER couldn't read the file structure before checking product rows. Header row, file encoding, merged cells, hidden formatting, blank rows before the header, extra sheets, or unsupported characters. Download a fresh template, copy only your product values into it, remove merged cells and blank rows, save the file, close it, and upload again. For detailed Excel cleanup steps, go to Fix Excel upload errors caused by formatting, special characters, or extra sheets.
Missing required field A required column has a blank value on one or more rows. Required fields such as Season, Style Number, Color, Size, Name, Wholesale Price, or other brand-specific required fields. Add the missing value to every affected row. If the field doesn't apply, confirm whether your brand setup still requires it.
Invalid header or unrecognized column A column header doesn't match the template. Renamed, deleted, duplicated, or manually added column headers. Download a new template from NuORDER and keep the original headers. Copy your values into the matching columns.
Duplicate product or duplicate key NuORDER found more than one row with the same product identifier. Rows with the same Season, Style Number, Color, and Size combination, or duplicate SKUs. Keep one row per SKU. Remove exact duplicates or update the values that should make the rows unique.
Invalid price A price field has unsupported formatting. Dollar signs, commas, formulas, text, blank values, or currency symbols in price columns. Enter numbers only, such as 100 or 100.00.
Invalid character A field includes a character NuORDER can't import. Special characters, smart quotes, hidden characters copied from another system, or line breaks in unsupported fields. Replace unsupported characters with plain text. Use simple HTML only in the Description field.
Scientific notation Excel changed a long number into scientific notation. UPC, EAN, SKU, or other long number fields. Format the column as text before entering values, or use the XLS export from NuORDER.
Rows keep failing after fixes The row may include hidden formatting or a value that doesn't match your portal setup. The row named in the error message and nearby rows. Copy the row values into a fresh template as plain text. If the same row still fails, remove that row, upload the remaining file, and create or update that product manually.


If the same row keeps causing an error, remove that row from the file and upload the remaining rows.

For example, if row 5 keeps failing and the file has 100 rows, delete row 5, save the file, close it, and upload the file again. NuORDER can import the 99 rows that pass validation. You can then create or update the remaining product manually.

To create a product manually, go to Settings > Brand Admin > Product Catalog Settings > Product Gallery. Select New Product.

If the issue continues, contact NuORDER Support with the exact error message, file name, upload time, affected row, style number, color, SKU, and whether your brand uses an ERP or integration.

Upload shows success but products are missing

If the upload shows success but products don't appear in the portal, the file may have imported without making the products available where you're checking.

Check the following:

  • Filters: Clear filters in the Product Gallery, linesheet, or catalog. Products may exist but not match the current filter.
  • Season: Confirm the product is assigned to the season you're checking.
  • Availability: Confirm the product is available for the right customer groups, delivery windows, or inventory rules.
  • Product identifiers: Confirm the upload updated an existing product instead of creating a new one. If SeasonStyle Number, or Color changed without the _id field, NuORDER may treat the row differently than expected.
  • Sizes: Confirm the file included all sizes for the product. Missing sizes may be removed during upload.
  • Required product details: Confirm product rows have all fields your portal requires to show products to buyers.
  • Processing time: Confirm the upload finished processing before checking the Product Gallery, linesheet, or catalog.

If products still don't appear, download product data from NuORDER and search the export for the missing Style NumberColor, SKU, or _id. This can help confirm whether NuORDER saved the product data.

ERP or integration syncs overwrite product data

If your brand uses an enterprise resource planning (ERP) system or another integration to sync product data, manual product data uploads may be overwritten by the next sync.

Before making manual changes, confirm which system controls the fields you want to update. If your ERP or integration controls a field, update that field in the source system instead of NuORDER.

If you need to make a temporary manual update:

  • Confirm when the next integration sync runs.
  • Check whether the field is mapped from the ERP or integration.
  • Coordinate with the person or team that manages your integration.
  • Update the source system so the next sync doesn't reverse your change.

If you're not sure whether an integration controls your product data, contact NuORDER Support with the product style, color, SKU, field name, and the change you expected.
