NuORDER Catalog Portal overview (Lightspeed Retail POS)

Note: This article is about the NuORDER Catalog Portal that shares product data to Lightspeed POS merchants on both R-Series and X-Series. If you’re a NuORDER brand searching for information on Linesheets (aka Catalogs), go to this set of articles.

Brands can use the NuORDER Catalog Portal to share product data with Lightspeed retailers, so that they have the most accurate, up-to-date product details and inventory. This is how retailers access your catalogs, then retailers using R-Series and X-Series pull this data into their Lightspeed POS.

Note: Lightspeed retailers can invite brands to join NuORDER Catalog Portal by sending them this link, which includes more information and access to a sign-up form. Retailers use the brand’s product data in their Lightspeed POS for R-Series and X-Series.


Log in

If you already have an account, go to NuORDER Catalog Portal, enter your Username (email address) and Password, or select Forgot your password? to reset it.

Sign up

If a retailer invited you, open the email and select Accept the invitation to create your account. Otherwise, go to this link to learn more about the benefits of NuORDER Catalog Portal. Then, select Sign up, Get started, or use this link to create a new user.

Enter your First name, Last name, Email address and Create a password. Check the box to accept the Terms and Conditions, then select Next.

Go to your inbox to review the email and select Verify email.

Next, tell us about your brand by providing your Organization name, Organization website, Verticals (select all that apply), Current platform, How many retailers do you sell to? and How did you hear about us? Then select Create Account

Brand verification can take one to three business days to complete. Check the status by hovering over the Image of checkmark icon. icon next to your brand name. The gray checkmark turns blue after the verification process is complete. In the meantime, you can still import product data, so it’s ready when you’re approved.

Update settings and information

Manage company details, including your logo and contact information, by selecting Setup from the left menu.

Adding your logo helps showcase your brand in the NuORDER Catalog Portal and gives Lightspeed’s network of buyers a clear visual connection to your catalog of products.

After you make changes, select Save in the upper-right corner.

Import products

To import products, select Download a template or Import Products > template.

Enter product data

Enter your product data in the CSV file using the field descriptions below. The first six fields are required and denoted with an * asterisk in the below table. The rest listed here are recommended. It helps retailers when you include as much information as you can. 

If you want to provide more details, the spreadsheet template also includes additional optional fields not shown in this table. Go to the Import best practices section of this article for more tips.

Note: For a complete reference, visit Google’s Product data specification, which outlines all available fields.

id* This is the unique identifier you use for the product in your systems. 12345
brand* Enter the brand name for the product.
Note: Use proper casing and spelling, as this is how the brand name displays to users.

item_group_id*

Required only for products with variants (like size or color)

Use this field to group product variants. Variants are products that are the same but differ by attributes like color, size or material. All products with the same item_group_id are treated as part of one product group. This helps present them together in the product table and catalogs.

Each detail should contain three attributes separated by colons. The three attributes are: section_name, attribute_name, and attribute_value.

Include your own product categorization system in your product data.

Visit this list of categories for reference.
e.g. Household Appliances > Kitchen > Refrigerator

: Some fields included in the template are not currently utilized by our system and can be left blank:

  • disclosure_date
  • release_date
  • product_highlight
  • video_link
  • product_page_url

Format the spreadsheet

After entering your product data, delete the instructional row (row 2), then save the CSV spreadsheet.

Import the spreadsheet

Return to the NuORDER Catalog Portal and select Import products

Note: Your product details aren’t displayed for Lightspeed retailers until you publish them.

Drag and drop the CSV file anywhere on the screen, or use Select a file to upload to browse your files.

If the imported spreadsheet contains an issue, a table appears with the Error, Affected Rows and How To Fix it. You can also download a spreadsheet that denotes the affected rows.

Make any updates in your original file, then import the corrected spreadsheet. 

If there are no issues, select Continue with Import to confirm the upload.

Import progress

After your spreadsheet uploads, product data begins importing. To track progress, select Check your notifications in the confirmation banner or the bell icon in the upper-right corner.

Review and publish products

After the import completes, review the uploaded product details before publishing. 

Reminder: Product details won’t appear to retailers until they're published.

Review

Go to the product table to review the imported details. 

Tip: Select Export list to download a spreadsheet of the imported products.

To review more details for a specific product, select the Image of the expand icon. expand icon, then navigate through the available tabs. For example, the product in the below image includes tabs for Variants and Details.

Publish

When you’re ready, use the checkboxes to select one or more products. To select all, use the checkbox in the table header. 

Select Choose an action, then Publish

Review the confirmation screen and select Publish to complete the process.

You can track each product’s publishing status in the product table. 

Publish status Definition
Pending Your products will be published after your organization is verified.
Published Lightspeed retailers can see and import your product data into their POS for R-Series and X-Series.
Not published Your products aren’t available to Lightspeed retailers yet.
Unable to publish Some product data is missing or conflicting.
Updated (publish to apply) Updates have been made to published products and need to be republished.

Search products

Find products by configuring filters, then selecting Search

  • Search for products: Enter a product name or UPC.
  • Publish status: Choose a status (for example: Pending).
  • Brand: Select a brand.
  • Product line: Select a product line.

Select Clear filters to return to the full list of products in the table.

Update products

To update product details, import a new version of your data.

If you want to start with what you’ve already uploaded, select Export list from the product table and make your changes.

After updating and saving your file, follow the steps in the Import products section of this article to upload the updated file.

If you import a product that already exists in the NuORDER Catalog Portal, you’ll be prompted to choose if you want to keep the existing version or replace it with the new one. When you’ve made your selections, select Save changes

Notify retailers

After completing the checklist below, let your network of retailers know your product data is available in the NuORDER Catalog Portal. 

  • Your brand is verified.
  • You’ve added your logo.
  • You’ve imported your products.
  • You’ve published your products and they now show a Published status. 
    Note: It may take 1-2 days for your products to show within the NuORDER Catalog pending data validation.

Reminder: Retailers use your product data in their Lightspeed POS for R-Series and X-Series.

Import best practices

Follow these tips to help your product data import smoothly and publish without issues:

  • The following six fields are required to publish a catalog to retailers: id, brand, title, product_name, gtin and image_link.
  • You can export Unable to publish data, make corrections, and reimport the file.
  • Brand names are case-sensitive. For example, importing BRAND ABC and later Brand Abc creates separate entries.
  • Make sure the product_name is consistent across all products in a group.
  • The product_type column can be used for the product’s category.
  • For pricing, enter values in this format: USD 9.99 (include a space and a decimal).
  • The GTIN must be a 12- or 13-digit UPC or EAN.

FAQ

Q: How do I get my organization verified?

A: Our team reviews the information you provide when setting up your account. When verified, a blue check mark appears next to your organization name. Verification typically takes one to three business days.

Q: Can I still publish products if my account hasn’t been verified?

A: Yes. You can still submit products for publishing. They'll be marked as pending until your account is verified. After verification is complete, all products set to publish will appear in the Lightspeed Wholesale Catalog automatically. 

Q: How long does it take for retailers to access my catalog after I publish it?

A: Timing depends on your brand’s verification status:

  • Verified: Products typically publish within an hour,  but may take up to 2 days to populate in the NuORDER Catalog pending data validation.
  • Verification pending: You can still set products to publish. Your catalog will be published and available to retailers after verification, which usually takes one to three business days.

Q: I have retailers on Lightspeed for X-Series and R-Series. Will my product catalogs be available to all of them?

 A: Yes! Both X-Series and R-Series retailers can access your catalogs.
